Privacy Policy

1. Introduction

Propel8 (“Propel”, “we”, “us”, or “our”) operates the Propel8 platform, a marketplace for live video coaching sessions. This Privacy Policy describes the personal information we collect, how we use it, who we share it with, and what choices you have. It applies to all visitors, registered users, and providers who interact with our platform.

We may update this policy from time to time. When we do, we will revise the effective date above. Continued use of the platform after changes are posted constitutes acceptance of the updated policy.

2. Information We Collect

We collect information you provide directly and information generated by your use of the platform:

  • Account information: Name and email address collected at registration via our authentication provider (Clerk). Providers additionally submit a profile photo, biography, coaching category, and hourly pricing.
  • Booking and transaction data: Session dates and times, booking amounts, and payout records. Payment card details are collected and stored exclusively by Stripe — we do not store card numbers or CVVs.
  • Session content: Messages sent between users and providers through the platform inbox. Reviews and ratings you submit. Provider credentials submitted for verification.
  • Usage and technical data: IP address, browser type, pages visited, and server-side logs generated in the ordinary course of operating the platform.
  • Provider-created content: FAQs, promo codes, session packages, and invoices created by providers are stored as part of their account.

3. How We Use Your Information

  • To create and maintain your account and authenticate your identity.
  • To facilitate bookings, process payments, and manage escrow and payouts.
  • To send transactional emails — booking confirmations, session reminders, invoices, dispute notifications, and credential review updates. These are necessary to deliver the service.
  • To display provider profiles publicly and power search and discovery features on the platform.
  • To enforce our Terms of Service and investigate disputes, fraud, or abuse.
  • To compute quality metrics such as trust scores, tier rankings, and review averages, which are used for platform integrity and provider discovery.
  • To comply with applicable laws and respond to lawful requests from authorities.

We do not sell your personal information to third parties or use it for advertising purposes.

4. Third-Party Service Providers

We use the following third-party services to operate the platform. Each processes data under its own privacy policy and security controls:

  • Stripe — payment processing. Stripe collects and stores payment card details directly; we receive only transaction metadata (amount, status, identifiers).
  • Clerk — user authentication. Clerk stores your email address and manages sign-in sessions on our behalf.
  • Agora — live video infrastructure. Agora transmits audio and video during sessions. Propel does not record sessions on its servers.
  • SendGrid (Twilio) — transactional email delivery. SendGrid processes your email address solely to deliver messages initiated by the platform.
  • Vercel / hosting infrastructure — our application and database are hosted on cloud infrastructure in the United States. Data may be stored and processed in the US.

We select providers that offer appropriate data protection standards and only share the minimum data necessary for each service to function.

5. Data Retention

  • Account and profile data is retained for as long as your account is active. If you delete your account, your personal information is anonymised and your public profile is removed.
  • Transaction records (bookings, payments, ledger entries) may be retained beyond account deletion to satisfy financial record-keeping and fraud prevention obligations.
  • Server logs and usage data are retained for a limited operational period and then deleted or aggregated.
  • Content you have posted that forms part of another user’s record (e.g. reviews of a provider) may be retained in anonymised form after account deletion.

6. Cookies & Tracking

We use session cookies set by Clerk to keep you signed in. These are strictly necessary for the platform to function and cannot be disabled while using the service.

We do not use advertising cookies, cross-site tracking pixels, or third-party analytics scripts that share your data with ad networks.

7. Your Rights & Choices

Depending on where you are located, you may have certain rights regarding your personal information. These may include the right to:

  • Access a copy of your data. You can download a JSON export of your account data at any time from Account Settings → Export My Data.
  • Correct inaccurate information. You can update your profile details from your dashboard at any time.
  • Delete your account. You can request account deletion from Account Settings → Delete Account. Deletion is blocked only if you have an active subscription or an unresolved escrow balance.
  • Opt out of non-essential emails. Transactional emails (booking confirmations, reminders, invoices) are necessary to deliver the service. If we ever send marketing emails, an unsubscribe link will be included.
  • No sale of personal data. We do not sell, rent, or trade your personal information for monetary or other valuable consideration.

Residents of the European Economic Area, the United Kingdom, and California may have additional rights under applicable law (including GDPR and the CCPA). To exercise any right, or if you have questions about how your data is handled, please contact us at legal@propel8.net. We will respond within a reasonable timeframe consistent with applicable requirements.

8. Children

The platform is intended for users aged 18 and over. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us with personal data, please contact us and we will take steps to remove it.

9. Changes to This Policy

We may update this Privacy Policy periodically to reflect changes in our practices or applicable law. We will update the effective date at the top of this page when changes are made. For material changes, we may notify you by email or by a notice on the platform. We encourage you to review this page from time to time.
